Housing Agreement Cancellations

wHAT IS A CANCELLATION?

A cancellation is a request via the Housing Portal to end the agreement between the student and the University in accordance with the terms of the agreement.  Cancellation requests are reviewed based on the eligibility criteria listed in the Student Housing Agreement. If the request does not meet the eligible criteria, the student’s request will be denied and held to the terms and conditions of the Housing Agreement.

Pre-Assignment

Students are eligible to cancel at any time prior to being assigned to a space on-campus.  Any pre-assignment cancellation will not receive a cancellation fee.  The application fee is non-refundable.

Post-Assignment 

Students who have been assigned may request a cancellation via the Housing Portal if eligible based on the criteria listed in the Housing Agreement. If the request is approved, a cancellation fee may be assessed based on the date the request is made.  If the request does not meet the eligible criteria, the student’s request will be denied and the student is held to the terms and conditions of the Housing Agreement.

No-Shows

  • Assigned students, who fail to check-in and are not registered for academic coursework by the end of the Add/Drop period, will be administratively cancelled by the department and the appropriate cancellation fee will be assessed to the Student Self-Service account.
  • Assigned students, who fail to check-in and are registered for academic coursework, will not be considered a no-show and the student will be responsible for the terms and conditions of the appropriate housing agreement whether or not they physically move-into the assigned space.

Cancellation Eligibility 

Who is eligible to cancel?

  • The Student has not been assigned a Space
  • Non-Enrolled Student:The Student graduates and does not continue in another USF program
  • The Student receives military order for active duty
  • The Student has a USF medical withdrawal
  • The Student withdraws and is no longer enrolled at USF
  • The Student participates in an academic program that requires residence outside Hillsborough County
  • The Student participates in a USF sponsored and/or approved study abroad program
  • The Student transfers to USF residence halls located in St. Petersburg and secures a USF Housing Agreement for a residence hall located in St. Petersburg
  • The Student is married during the term of the Agreement

Supporting Documentation for Eligibility

  • Non-Enrolled Student:
    • The Student graduates and does not continue in another USF program
      • No documentation is necessary at the time of the request; however, an audit will occur after commencement to determine if the student’s degree was awarded by the university. If the degree isn’t awarded, the student’s approval will be rescinded and a rental rate will be applied to the student’s account as per the housing agreement.
    • The Student receives military order for active duty
      • Student provides a copy of the orders that require the student to report during the term of the Housing Agreement.
    • The Student has a USF medical withdrawal
      • Student provides a copy of the University’s approved medial withdraw.
        A University office (Dean for Students, Student Outreach & Support, Counseling, etc.) provides a letter of support outlining that the student’s enrollment status has changed.
    • The Student withdraws and is no longer enrolled at USF
      • Student Self-Service records indicate that the student is no longer registered for course at the University.
  • The Student participates in an academic program that requires residence outside Sarasota County
    • Student will need to provide a confirmation letter from the sponsoring academic supervisor (course instructor or equivalent) outlining the nature of the program, location of the program, estimated amount of time away from campus, and validating the academic connection to the University.  Examples of academic programs include Study Abroad, internships, research studies, etc.  Online courses are not applicable to this section.
    • Student provides documentation that it is more reasonable to conduct a transfer of locations due to the academic program being located in St. Petersburg or Tampa. The student will be expected to live on-campus in St. Petersburg or Tampa.
  • The Student participates in a USF sponsored and/or approved study abroad program.
    • Student provides a copy of the USF approval letter indicating the study abroad program dates. These dates must be during the term of the Housing Agreement.
  • The Student transfers to USF residence halls located in St. Petersburg or Tampa and secures a USF Housing Agreement for a residence hall located in St. Petersburg or Tampa.
    • Student submits a cancellation request at one location, Tampa, St. Petersburg, or Sarasota-Manatee. A new housing application, for the same term, is submitted at the new location, Tampa, St. Petersburg, or Sarasota-Manatee, and an assignment is made.
  • The Student is married during the term of the Agreement
    • Student provides a copy of the marriage license indicating that the marriage date is during the term of the Housing Agreement.
       

How Do I Cancel My Assignment?

All cancellation requests must be submitted via the Housing Portal. Phone calls, emails, or in-person requests will not be accepted.

Will I be charged a cancellation fee?

If a student has been assigned to space and the cancellation request has been approved, it will depend on when the cancellation was approved.  Please refer to the Student Housing Agreement for specific information on the cancellation fees.

Please note: Due to ongoing impacts from FASFA delays, incoming first-year students will have until May 8 at 11:59 p.m. to cancel their Student Housing Agreement without a cancellation fee.

All of my classes are online.  Can i cancel my Housing agreement?

If a student does not have an assignment, then the Student Housing Agreement may be cancelled without a cancellation fee.  If the student has an assignment, then the student may submit a cancellation request based on the eligibility criteria listed on the Student Housing Agreement.  Online classes do not meet the eligibility criteria for a cancellation.
